The Ford Foundation, India Office, based in New Delhi, seeks a dynamic and collaborative Operations Coordinator (OC). The OC will report to the Operations Manager who leads the India office operations and people and culture (human resources) function and is responsible for directing the work of a team of operations staff working toward a shared team / global strategy. The OC will provide support on a range of operations functions including, but not limited to general operations, office administration support, campus management, fiscal management, data entry into various systems, maintenance of office records and files, monitoring and coordinating processes and scheduling. The OC will lead a team within the operations unit to provide upkeep and maintenance of the office premises and the transport arrangements for the office. The OC will work closely with the Operations Manager and other team members in the operations unit to manage relationships with contractors, vendors, service providers in support of the overall functioning of the office. The OC will also work closely and collaboratively with co-located organizations on the Ford Foundation campus including the UNDP, and other UN agencies funds and programs.
The OC is an effective, highly functioning, multi-tasker; with excellent communication and time management skills. The OC supports the Operations Manager in identifying and maintaining a high performing set of vendors and service providers across a range of functions for the general operations of the office. The OC supports the Operations Manager in the day to day running of the office and campus. The OC ensures the upkeep and maintenance of foundation equipment and assets. The OC supports a range of stakeholders both internally and externally to ensure smooth, timely and compliant support in the efficient running of the office space and operations of the office, including individual offices, common areas, meeting rooms etc. The OC maintains necessary files for the operations unit, in compliance with statutory audit requirements as well as conforming to internal foundation guidelines. The OC helps to manage travel, visa issuance, FRRO where required. The OC works closely with the Operations Manager in the management and retention of records and equipment as per foundation policy and best practices. The primary responsibility of this position is to work across internal and external stakeholders to optimize the functioning of the operations unit.
